The challenge
Student and volunteer organizations under DLSU’s Center for Social Concern and Action (COSCA), including COSCA-LOVE and De La Salle Red Cross Youth (DLS-RCY), handled approvals and vetting through ad hoc sign-offs. Requests went back and forth, and every new officer had to relearn the process.
What we changed
- A centralized automation system on COSCA’s Google Workspace.
- A streamlined approval process: one trackable flow instead of scattered sign-offs.
- A vetting workflow, so submissions are reviewed consistently before approval.
- Documented, standardized operations, so the system survives each year’s officer turnover.
The result
The automations have been in daily use since 2019, through years of new officers: proof that simple, well-documented systems last.
